Help for abstract submission

Abstracts may only be submitted which have
  • NOT been presented at an international meeting and
  • NOT been published in a peer-reviewed journal !

  • By submitting an abstract, the author consent to its publication by Cambridge University Press in Cardiology in the Young in 2019.

The submission of abstracts is possible exclusively on the internet from 10. September 2018 - 10. December 2018   24oo CET

For security reason, the transfer of your input is done using the internet protocol HTTPS (Hypertext Transfer Protocol over Secure Socket Layer, or HTTP over SSL). Please accept the digital certificate of .

Preliminary remarks

You must login to the system with your e-mail address and a password. You may submit several abstracts of your own or of your colleagues under one account. All communication regarding the submitted material will be done via e-mail with the submitting person.

Reasons for this procedure:

  • You may correct and withdraw your contributions after submission, as well as reactivate withdrawn abstracts.
  • Even you submit several abstracts, you only need to specify your personal data once.

There are two options for delivering the body text of the abstract:

  1. You may provide your abstract with MS Word using our template. You are responsible for the correct format of your work.. The abstract is transferred by "uploading" it to our server. or

  2. You may insert the unformatted body text of the abstract into a text field. Our program then formats the final abstract of this text and other input fields.

The contributions can be submitted as follows:

You can login with your e-mail address and your password if you already have an account on the system. --> overview page.

Personal data of many colleagues are already stored as potential users either because they have submitted contributions last year or they were AEPC reviewers. These colleagues have already received their account information via e-mail.

If you do not have an account in our system. --> user page
If you use a new e-mail address after you have been registered in our system you should login with your old e-mail address and change your e-mail address on the user page.

User page
The submitting person may specify and correct personal data. Under one account, you may submit several abstracts for yourself or for colleagues. It is also possible to change your password. To store the changes, the actual password is required.

Overview page

Your personal data are listed at the top of the window.

The submitting person may change personal data (This person does not need to be the presenting author!) --> user page

in the middle of the form (blue). --> abstract creation

Your submitted abstracts are listed in the lower part of this overview. The contributions are numbered and provided with a status.

Status of the abstracts:

  • unchecked (yellow) when we receive contributions and after each of your corrections.
  • OK (green) the format of your abstract was checked and is valid.
  • please correct (red) with hints for your correction.
  • withdrawn (gray)

Each abstract you may

  • change --> abstract creation
  • withdraw or
  • reactivate a withdrawn abstract

Abstract creation / correction
The abstract is assembled by our program using the fields in the upper part of the form and the body text.

Structure the body text of the abstract as follows:

  • Introduction or Basics or Objectives ,
  • Methods,
  • Results and
  • Conclusions

Do NOT enter the information of title, author(s) or institution(s) in the body text of the abstract. The reviewers need anonymous (blinded) abstracts!

For the body text of the abstract you have the choice

  1. of uploading a RTF-file with formatted text, ready to print (yellow area), or
  2. of entering (copy) unformatted text directly into the body text box (green area)

If you decide to upload a file you must use the provided template aepcAbstractTemplate.rtf which can be edited with MS Word, stored and uploaded as an RTF-file. (If you specify a file for uploading, the content of the body text box is ignored.)
Reasons for submitting files in this manner:

  • Tables can be inserted.
  • Images ( monochrome, jpg) may be inserted.
  • Bold type characters are possible.
  • You may use special characters.

A. Preparing RTF - files:

Please use the template aepcAbstractTemplate.rtf which you can download here, from the home page or the abstract creation page. We selected the RTF format, because no macro viruses can be spread in this format. The file format rtf can also be set on Microsoft Word. Please strictly obey the given template format. Adhere please accurately to this template. Replace the contents of this example with your abstract text.


  • Font: Arial 10, single-line!
  • Do not include the abstract title , authors or institutions
  • Use only one page (including tables or images), maximum of 350 words, max. size 7Mb.
  • Do not alter the page borders.
  • Pictures or tables may not cross the borders.
  • After you have created your abstract body and it is "ready to be printed", save it on your computer in Rich Text Format (*.rtf)
  • Please use only Microsoft Word to generate and store the rtf-file! Do not use other Apple programs. The file format is not compatible.
  • If you insert an image or table here, please consider that for the final print of the abstract in the 'Cardiology in the Young' the abstracts will be reformatted to fit into a column of about 8cm width. Therefore, please note that your table or your picture may be no wider than 8 cm. Text in images and in the table must remain legible!
  • Please never use an image for table data, but insert your table with microsoft Word into the RTF file. The publisher may otherwise not be able to reformat your abstract to fit into the column.
  • If you insert an image into your abstract, you must additionally upload this image as a separate file (jpg or tif or eps, 600dpi, max width:8cm ). The publisher needs high quality images!
  • Please place an illustration legend in the rtf-file as text and not on the image.

B. Unformatted text body

  • Enter the text into the text box of the submission form.
  • Do not include the abstract title , authors or institutions.
  • Here, it is not possible to insert figures and tables.
  • Some special characters such as "" may be copied from your word program.
  • The number of words in the abstract body is limited to 350.
  • The abstract will be generated out of the inserted text into the correct layout by our program.

After successful submission of the abstract
The submitting person will receive an e-mail confirmation and the abstract as an attachment. The file name contains the registration number of the abstract.

Please check your abstract carefully to make sure all information is correct!

Please inform us if you do not receive an e-mail confirmation.

At this point and after every later change you may make, your contribution will be marked with the status "unchecked" (yellow). You may control the status of your abstracts by logging in again.

Abstract check
We will visually examine the abstracts for formal correctness and switch the status in the overview page to OK (green). If your abstract does not have the requested format or we are not able to read some of your special characters, we will switch the status to please correct (red) and will ask you via e-mail to make the corrections online.

Your corrections

When the status of your abstract is 'please correct', you must log in and correct the abstract as
it will otherwise not be presented to the reviewers.

Independent of the status of the submission, you may modify your abstract at any time (before the deadline).
If you have no corrections on the body text of the abstract, you do not need to upload the file again.
When you submit a corrected file and your file contains an image, you must additionally submit the image (as *.jpg).
After you have submitted your corrections, the status of your abstract will change again to unchecked, and you will receive a confirmation via e-mail with the corrected abstract as attachment.

Abstract evaluation

After the period of abstract submission,
reviewers will evaluate all abstracts and the scientific board will decide which contributions are accepted for the congress.
All persons who submitted abstracts, will then be informed by e-mail whether their contribution has been accepted or not.
